Administrative Assistant- Midwest/Mountain

Communication Technology Services (CTS) is one of the largest integrators and managed service providers for enterprise cellular networks in the U.S., specializing in the design, installation and support of Distributed Antenna System (DAS), Small Cell, and 4G/5G Private Wireless Networks for Enterprise.

Our Midwest and Mountain team are seeking an Administrative Assistant to provide office support to the Chicago area and Denver area operations teams Candidates must be local to either the greater Chicago area or the Greater Denver area to work onsite several days per week and couple days remotely.

JOB DESCRIPTION

The Administrative Assistant will provide direct administrative and project coordination support to the Midwest and Mountain regions. Working closely with the Project Coordinator and Project Leads, this role ensures seamless operations and effective internal communication. The ideal candidate is highly organized, detail-oriented, and possesses strong communication and multitasking abilities within a dynamic office environment

Key Responsibilities:

  • Customer Support
  • Update project milestones and compile ads submit project close outs in a timely manner
  • Review and process any outstanding items required for invoicing, and reach out to the team to with any findings of deficiencies
  • Verify invoicing status and monitor contract renewals
  • Assist in preparing for onboarding meetings and supporting related objectives
  • Project & Billing Coordination
  • Update and maintain project data in project management software (SiteTracker)
  • Track Time & Materials (T&M) billing reports
  • Assist in quote creation and manage equipment procurement workflows
  • Operational Support & Reporting
  • Support ticket tracking and monitor SLA compliance
  • Coordinate with regional teams and issue follow-up reminders as needed
  • Maintain digital job folders in ShareFile and ensure documentation is current and complete
  • General administrative duties
  • Provide outstanding service to internal teams and external partners
  • Perform other administrative duties as assigned to support smooth office operations

Required Qualifications:

  • 3–5 years of experience in an administrative assistant or project coordination role
  • High School Diploma required; Associate or Bachelor’s degree preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong written and verbal communication skills
  • Proven ability to multitask, prioritize tasks, and maintain attention to detail
  • Positive, professional demeanor and a customer-first attitude
  • Familiarity with inventory or project management tools (eg, SiteTracker) is a plus
  • Prior experience in related or front-office support role is advantageous

Compensation: $20–$25 per hour, commensurate with experience
